This SOP should regulate the member check-in process, membership verification, handling of trial members, new member registration, front desk communication standards, and a daily checklist before the gym opens.

With clear SOPs, the team not only greets members but also ensures valid membership status, neat member data recording, trials run according to procedure, and every question is handled consistently.

2. Gym Cleanliness SOP

This SOP must be in place, as good cleanliness standards will affect the comfort, safety, and trust of members in your facility. This SOP should regulate the cleaning of training areas, locker rooms, toilets, showers, and equipment sanitation after use.

In addition to daily cleaning, gyms also need to have a deep cleaning schedule for areas that require more detailed maintenance, such as room corners, rubber floors, ventilation, mirrors, and equipment storage areas.

To ensure consistent implementation, create a clear daily cleaning checklist. This includes who is responsible, which areas to check, cleaning times, sanitation equipment used, and the signature of the PIC.

3. Equipment Inspection and Maintenance SOP

Poorly maintained slats can disrupt operations, reduce member comfort, and increase repair costs. This SOP should regulate daily inspections to check the basic condition of equipment, and weekly inspections to identify potential damage. 

Areas that need to be checked include cardio machines, cable machines, benches, rubber flooring, and functional training equipment. Each check must also be documented, including the inspection date, equipment condition, repair actions, and the responsible PIC.

4. Personal Trainer SOP

This SOP needs to regulate trainer appearance standards, how to greet and assess new members, the process of developing training programs, and how to periodically monitor member progress. 

In addition, gym owners also need to establish emergency handling procedures so that trainers know what to do when members experience injuries, dizziness, or abnormal conditions during training. 

This SOP should also include clear KPIs, such as the number of sessions, member attendance rates, member progress, service quality, and contribution to PT package sales. 

This way, your gym can be more consistent in providing a safe, measurable, and valuable training experience for members.

5. Gym Security and Safety SOP

This SOP needs to regulate area inspections before the gym opens, starting from the condition of equipment, floors, cables, ventilation, to training areas that are prone to being slippery or untidy. In addition, the gym needs to have procedures for handling member injuries, using first aid kits, emergency evacuation, and incident reporting flow so that the team knows what actions to take when problems occur.

6. Member Complaint Handling SOP

This SOP should explain how staff professionally receive complaints, record problem details, determine whether the complaint can be resolved directly or needs to be escalated to a supervisor/management, and set clear resolution target times. 

Every complaint also needs to be documented so that the gym can see patterns of problems, such as equipment damage, area cleanliness, staff service, or member discomfort. 7. Daily Gym Operational Monitoring SOP

This SOP usually includes a gym opening checklist, gym closing checklist, monitoring the number of members attending, equipment condition, area cleanliness, and records of operational constraints. 

With a daily operational dashboard, owners can see fitness business KPIs more clearly, such as member traffic, frequently used equipment, equipment needing maintenance, member complaints, and team readiness on the ground. 

Without this SOP, many small problems can easily be missed, from broken equipment not being handled immediately, unclean training areas, to unrecorded member visit data. Therefore, daily monitoring SOPs are important for maintaining member experience, operational efficiency, and gym service quality in the long run.
